Org. Setting and Reporting

The internship position is located in the Budget, Financial Management and Reporting Section of UN Mine Action Service (UNMAS), Office of Rule of Law and Security Institutions (OROLSI) within the Department of Peace Operations (DPO).

Established in 1997, the United Nations Mine Action Service (UNMAS) works to eliminate the threat posed by mines, explosive remnants of war and improvised explosive devices by coordinating United Nations mine action, leading operational responses at the country level, and supporting the development of standards, policies and norms.

As a specialized service of the United Nations located within the Department of Peace Operations, UNMAS operates under UN legislative mandates of both the General Assembly and the Security Council. UNMAS also responds to specific requests for support from the UN Secretary-General or designated official.

The Budget, Financial Management and Reporting Section of UNMAS Internship is for six months. The internship is UNPAID and full-time. Interns work five days per week (35 hours) under the supervision of a staff member in the department or office to which they are assigned.

Responsibilities

Under the general supervision of the Finance Officer, duties may include, but are not limited to:

-Assist in the preparation of supporting documents (narrative and supporting tables) with respect to disbursement of funds to Implementing Partners and Vendors, project closures, correspondences and other documents as assigned by the Finance Section.

-Support the Finance Section in gathering and compiling information and financial data from expenditure reports and present them using the Microsoft Office tools (Word, Excel, PowerPoint and Visio); assist in preliminary analyses of the extracted information from UN ERP system (Umoja) and UNMAS databases reports, and highlights areas of concern.

-Assist the Finance Section in collecting, analyzing and the development of the UNMAS financial data to be used for the UN Programmatic Reporting Dashboard.

-Research/compile data and other information required by the Finance Section in the review and analysis of relevant proposals.

-Assist in the preparation of supporting documents with respect to creation of shopping carts, purchase orders and Service Entry Sheets in Umoja.

-File and archive documentation in hard and soft copies as required and ensure to keep UNMAS archive filtered and sorted.

-Assist with the research, creation and maintenance of a database for UNMAS Finance/Programme requests with timelines and reports.

-Assist with the documentation of the detailed user requirement gathering and fit gap analysis for the implementation of the Result Based Management system.

-Monitor and update the Finance Section’s payments and correspondences tracking sheet.

-Draft minutes and talking points during Finance Section meetings

-Draft routine correspondence with respect to enquiries related to relevant financial and budget matters as may be assigned.

-Maintain and keep up-to-date files.

-Provide administrative support to the Chief of Section and/or Financial Officers and Assistants as required.

-Perform any other related duties, as may be assigned.

Education

To qualify for an internship with the United Nations Internship Programme, the following conditions must be met:

-Applicants must meet one of the following requirements: (a) be enrolled in a graduate school programme (second university degree or equivalent, or higher); (b) be enrolled in the final academic year of a first university degree programme (minimum Bachelors level or equivalent); or (c) have graduated with a university degree (as defined above) and, if selected, must commence the internship within a one year period of graduation;

-Be computer literate in standard software applications;

-Have a demonstrated keen interest in the work of the United Nations and have a personal commitment to the ideals of the Charter; and

-Have a demonstrated ability to successfully interact with individuals of different cultural backgrounds and beliefs, which include willingness to try and understand and be tolerant of differing opinions and views.

Work Experience

Applicants are not required to have professional work experience for participation in the programme. Interest and experience in communications preferred. Experience using Microsoft Office tools (Word, Excel, PowerPoint, Visio) is highly desired. Experience in analyzing and filtering Excel documents and manipulating Pivot Tables is desired.

Languages

English and French are the working languages of the UN Secretariat. For the post advertised, fluency in English is required. Working knowledge of French is desirable.
